The operational problem

Small associations often rely on a public website, a member spreadsheet, email, shared documents, and individual follow-up. Each tool may work on its own, but the people running the organization still need to keep the pieces aligned.

This association wanted to keep its existing website and member list. The need was not a complete replacement. It was a connected system around the work that happened repeatedly.

What RosaAI built

The public website contains embedded forms for member programs. Submitted email addresses can be checked against the existing member list without exposing the result publicly or blocking the submission when verification is unavailable.

Inside the protected hub, authorized users can manage schedules, offers, weekly responses, events, action items, users, and audit history. Different roles receive access to the areas required for their responsibilities.

Member data connection

The hub reads the existing member list for member-count information and submission verification. It does not replace membership applications, renewals, payments, or the association's membership records.

Weekly member features

Members can request an available Friday through a public form. The system manages available dates, two spots per Friday, annual booking limits, submitted copy, images, and confirmation messages. Authorized users can also block dates or manage bookings internally.

Member offers

Members can submit an offer through the public website. The hub manages active, scheduled, expired, and removed offers. The public listing shows only offers that are currently available.

The internal Brain

The protected dashboard brings together member count, upcoming features, active discounts, weekly update progress, open action items, overdue items, and events.

Weekly requests collect board updates through secure links. Reminders focus on people who have not responded. Meeting minutes can also be reviewed for proposed action items before a person approves what is saved.
